DESCRIPTION of OUNDLE VINTAGE FESTIVAL

A festival event to be held (outdoors) in The Market Place, Oundle, Northamptonshire, PE8 4BA.

The Vintage Fair / Antique Market will contain approximately 35 pitches. The market will be the centrepiece of a full day of displays and entertainments. This is a major event that will see most of Oundle’s town centre closed off and dedicated to the Festival.  The event will be widely marketed and expects to attract thousands of visitors to the town, just as it did last last year.

EVENT DETAILS

Stall setting up times will be confirmed at the beginning of April.
Fair opens to the public 10.00 am – 4.00 pm
Traders can pack up from 4.00 pm
Stalls to be cleared and vacated by 6.00 pm

PARKING

Parking will be available for traders at the Long Stay Car Park on East Road. Vehicles will be allowed to unload at the Market Place in a timely fashion. As soon as you have finished unloading please move your car to the Long Stay Car Park on East Road. Do not bring vehicles back for loading before 4.00 pm.

STALL DETAILS

Single pitches for stalls are 3x3m in dimension costing £50 for a single and £90 for a double pitch. Being an outdoor event we strongly recommend you use an awning or gazebo.  Pitch numbers and stall setting up times will be confirmed at the beginning of April. Plans of site will be provided. Stalls will be positioned to conform to public safety requirements and the final uniform layout of the finished event. We reserve the right to amend the layout of the event and the position of individual stallholders without notice.

ELECTRICITY

There is no access to power supply in the Market Place. If you plan to use a generator then you must provide details of the unit so it can be approved as safe and suitably quiet. All electrical equipment which is being used by you should be tested according to the IEE code of practice for in service inspection and testing of electrical equipment third edition (PAT Tested).

FIRE PRECAUTIONS

All materials used for building, decorating or covering stalls must be of non flammable materials. Participants must comply with any reasonable instructions given by the Organisers, or Local or other Authority.

SET UP AND BREAKDOWN

Please respect the other stallholders and their property when moving things in and out of the Market Place. Avoid actions that could disturb or disrupt residents living in close proximity, including undue noise, blocking access routes and damage to parked vehicles.Oundle Vintage Festival cannot be held responsible for any goods or items damaged during transit to and from your vehicle.
Stallholders are required to remove all goods and items belonging to them and to leave their area in the condition found. All litter must be disposed of.

STALL DISPLAYS

Stallholders should cover their tables with fabric or a similar covering that reaches to the ground at the front. All packing and storage boxes and materials should be stowed under or behind the table for safety and aesthetic reasons. Try to create some height in your display to attract attention.
Public walkways must be kept clear. Do not place free standing exhibits in front of your stall so that they cause an obstruction or danger to visitors. Do not move your table or encroach onto your neighbours’ space. Oundle Vintage Festival reserve the right to ask an exhibitor to remove any items from their stand that are not acceptable or that may cause offence. Other than in respect of a Pitch designated for the provision of food, all articles for human consumption whether for eating, drinking or smoking (other than for personal consumption by an Exhibitor) within the Market Place or which are dispensed or given away must be obtained from official caterers.

DURING THE EVENT

Stalls should be manned throughout the opening hours of the event. Oundle Vintage Festival cannot be held responsible for the damage or loss of traders’ goods or the loss of cash, cheques or personal belongings whilst on site.
A security incident should be passed directly to your nominated Festival Contact and will be dealt with immediately.

INSURANCE, RISK & INDEMNITY

It is a requirement that all stallholders have Public Liability Insurance. Each Exhibitor attends the Fair entirely at their own risk. The Exhibitor shall indemnify the Organiser from and against all actions, expenses, costs, charges or claims which the Organiser or any of its contractors may become liable for in consequence of damage or injury to any person or property occasioned by or arising out of the act, default or negligence of the Exhibitor or any other person or persons under its direction.

CANCELLATION BY STALLHOLDERS

All stalls must be paid for in full at the time of booking to secure the booking.
· Cancellation more than 31 days prior to the event – 50% refund of stall fee
· Cancellation less than 21 days prior to the event – no refund

CANCELLATION BY OUNDLE VINTAGE FESTIVAL

In the unlikely event that Oundle Vintage Festival are forced to cancel the event due to circumstances beyond their control, stallholders will receive a full 100% refund within 30 days of the date of the cancelled event.
